Who we are

Koin Keepers is a trading name of Cloudkeepers London Ltd, a company registered in England and Wales (company number 11047263), of 124 City Road, London, EC1V 2NX. Cloudkeepers London Ltd is the controller of the personal information described in this policy.

What we collect and why

When you get in touch

The enquiry form on this website does not send anything to us by itself. It prepares an email in your own email app, which you then choose to send. When you email or call us we receive what you give us, usually your name, email address, phone number, whether you are an individual or a company, the service you are interested in, the tax years involved and a short description of your crypto activity.

We use this to reply to you, arrange a consultation and give you a quote. Our lawful basis is taking steps at your request before entering into a contract with you, and our legitimate interest in responding to enquiries.

Please do not send passwords, private keys, seed phrases, exchange log-in details or sensitive tax information in an enquiry. We will never ask you for private keys, seed phrases or exchange passwords.

If you become a client

To provide accountancy and tax services we will collect further information, which can include identity documents, contact details, tax references, financial information and records of your cryptoasset transactions. We use it to carry out the work we agree with you, to meet our legal obligations (including anti-money laundering checks and record keeping) and to deal with HMRC on your behalf where you authorise us to. Our lawful bases are the performance of our contract with you and compliance with legal obligations. Your engagement letter will give more detail.

When you browse this website

This website does not use cookies, analytics or advertising trackers, and it does not ask your browser to store information about you.

Like any website, it is served by a hosting provider (Vercel), whose systems process technical data such as your IP address and browser details to deliver pages and keep the service secure.

The live cryptocurrency prices on the home page are loaded by your browser directly from Binance’s public market data service, which will receive your IP address and browser details when it does so. We do not receive or store this information. Binance’s own privacy notice applies to that request.

The map on our contact sections is loaded from OpenStreetMap, which receives your IP address and browser details when the map is shown. We do not receive this information. The OpenStreetMap Foundation’s privacy policy applies to it.

The Capital Gains Tax estimator runs entirely in your browser. The figures you type into it are not sent to us or anyone else.

Who we share information with

We do not sell personal information. We share it only where needed, with:

  • HMRC and other authorities, where you instruct us to or where the law requires it;
  • service providers who support our business, such as email, IT, hosting and identity verification providers, under contracts that require them to protect it;
  • professional advisers, insurers and regulators, where reasonably necessary.

Some providers may process information outside the UK. Where they do, we rely on the safeguards UK data protection law requires, such as adequacy regulations or approved contract terms.

How long we keep it

We keep enquiry information only for as long as we need it to deal with your enquiry. If you become a client, we keep your records for as long as the law and our professional obligations require, including tax and anti-money laundering record-keeping rules, and then delete or anonymise them.

Keeping it secure

We use appropriate technical and organisational measures to protect personal information, and we limit access to people who need it to do their work. Email is not a fully secure channel, so please do not email us anything sensitive unless we have agreed how to send it.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that is wrong or incomplete;
  • ask us to delete information, or to restrict how we use it, in some circumstances;
  • object to us using information on the basis of our legitimate interests;
  • ask us to transfer information you gave us to another organisation, in some circumstances.

To make a request, contact us using the details above. We will respond within one month. Some rights are limited where we must keep information to meet a legal obligation.

Complaints

If you are unhappy with how we have handled your information, please tell us first so we can try to put it right. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
